Travel plans can change, and we want to treat you fairly when they do. Your tour is built from services we commit to in advance, such as hotels, vehicles and drivers, guides, entry tickets, permits and safaris, and many of these payments cannot be recovered once made. This policy sets out what you will be charged if you cancel, what we refund and how quickly.
It applies to tours, customised itineraries, private transport, hotel reservations and other services booked through Travel Plan Raj, together with your quotation, your booking confirmation and our Terms & Conditions. Please read it before you pay a deposit.
All cancellation requests must be sent by email to the official email address in your booking confirmation. Please include:
Your cancellation takes effect on the date and time we receive your email. We will acknowledge it within two business days and confirm the cancellation charge and your refund. If you have not heard from us within two business days, please message us on our official WhatsApp number to check that your email arrived. Telephone calls and chat messages alone are not a cancellation, so please always ask for written acknowledgement.
The number of days before arrival is counted from the date we receive your cancellation to the first day of services in your booking.
Unless your quotation states a different schedule, cancellation charges are a percentage of the total tour price, based on how many days before arrival we receive your cancellation.
| Days before arrival | Cancellation charge | Refund of tour price paid |
|---|---|---|
| 45 days or more | 10% | 90% |
| 44 to 30 days | 25% | 75% |
| 29 to 15 days | 50% | 50% |
| 14 to 7 days | 75% | 25% |
| 6 days or fewer, or no-show | 100% | None |
Your refund is the amount you have paid minus the cancellation charge. If you have paid less than the charge, for example if only the deposit has been paid, we will tell you the amount still due.
48-hour change-of-mind period. If you cancel within 48 hours of paying your deposit and your arrival date is at least 60 days away, we will refund the deposit in full, less any bank or payment-processing charges.
Part of a group. If some travellers in a party cancel, the charges apply to their share of the price. Costs that were shared, such as a vehicle or a double room, may rise for those who still travel. We will tell you the revised price before you decide.
How charges are set. Our charges reflect costs we have committed to suppliers and cannot recover. If you ask, we will explain how a charge was calculated. If your quotation contains its own cancellation schedule, it replaces the table above for that booking. We do not apply a charge where the law requires a full refund.
Some services are paid to suppliers in advance on terms we cannot change. Where your booking includes any of the items below, your quotation will say so before you pay. Each item is charged under its own terms, and the percentages in section 3 apply to the rest of the tour price.
Once a refund has been approved and the amount confirmed, we will start the refund within 14 calendar days, or sooner if the law requires a shorter period. Refunds go back to your original payment method, in the currency you paid in where your payment provider supports it. If that is not possible, we will agree another lawful method with you.
Your bank or card provider may need extra time to credit the funds. Exchange-rate differences, bank fees and international transfer charges can change the amount you receive, and these are outside our control. Every deduction we make will be explained in writing, and we will only take supplier cancellation fees into account where they genuinely apply and are lawful.
If your refund has not arrived by the expected time, please check with your bank or card provider first, then contact us with your booking reference and we will trace it.
If we cancel a confirmed booking for any reason other than your failure to pay, your breach of our Terms & Conditions or the circumstances in section 9, we will tell you as soon as reasonably practicable and offer you a choice of:
We will not replace a cash refund with a travel credit unless you agree to it. Where the law entitles you to compensation, we will provide it. The same options apply if we make a significant change to your booking that you do not accept.
If you would rather change your travel dates, itinerary, hotel category, vehicle, activities or number of travellers, please ask us in writing before the affected services begin.
A change is not confirmed until we accept it in writing. If we cannot accommodate it, your original booking terms continue unless we agree otherwise or the law requires something different.
If you need to postpone, we may, where suppliers allow, hold your deposit as credit towards a rebooked trip within 12 months. Any credit is by written agreement only.
Illness, injury, family emergencies and work commitments do not automatically entitle you to cancel without charge, so the standard charges apply. Please tell us as early as you can. We will look for ways to reduce your loss, such as rescheduling or recovering costs from suppliers.
We strongly recommend travel insurance that covers trip cancellation and curtailment, arranged when you book. On request, we will give you written confirmation of the cancellation date, the charges applied and a breakdown that you can use for an insurance claim. Whether an event is covered depends on your policy, so please contact your insurer directly. Insurance does not replace any refund or remedy that we are legally required to give you.
Severe weather, natural disasters, war, civil unrest, serious security incidents, serious public-health emergencies, government restrictions and major transport disruption can all affect travel. If one affects your booking, please contact us promptly. We will assess the impact on your confirmed services, take official government travel advice for your destination into account, and discuss reasonable alternatives.
If circumstances at your destination or its immediate vicinity before departure significantly affect your trip, you may cancel without a cancellation charge and receive a full refund within 14 days. In other cases, refunds, charges and remedies depend on your booking terms, what we can recover from suppliers and the law.
Seasonal conditions that are normal for the time of year, such as monsoon rain, heat or winter fog, do not qualify. A disruption does not make every booking fully refundable, and equally, this section never allows us to withhold a refund the law requires.
You are responsible for holding a valid passport, visa and any other documents you need. We recommend applying for your visa as soon as your tour is confirmed. If a visa is refused or your documents are insufficient, please contact us immediately and we will review which services can be cancelled or refunded.
A visa refusal does not automatically entitle you to a full refund, particularly where we have paid costs we cannot recover. The cancellation charges in section 3 apply from the date we receive your written notice.
Unless flights are included in your confirmed booking, we do not issue airline tickets or refund flights you have booked yourself, and the airline's own terms apply. We recommend flexible fares until your tour is confirmed, and generous connection times.
If a flight delay or cancellation affects your tour, please tell us as soon as possible. We will make reasonable efforts to adjust your pick-up and itinerary. Extra transport, accommodation, rescheduling or waiting charges may apply where they are reasonably incurred, and we will tell you about them in advance wherever practicable. Your rights against an airline remain subject to its conditions and to any airline passenger-rights rules that apply.
If you do not arrive at the agreed meeting point, or do not use a booked service without telling us, it is treated as a no-show. Refunds for no-shows and unused services are not guaranteed. They depend on supplier terms, what we can recover, the reason for non-use and the law.
If you are delayed, please call or message us straight away and we will try to rearrange your services, although extra charges may apply. If you leave a tour early or skip an included activity by choice, unused services are not automatically refunded. If illness or an emergency stops you from continuing, please tell us at once and we will look at what alternatives are available.
If you cancel after your trip has begun, the refund is limited to the amount we can recover from our suppliers. Unused hotel nights, chartered transport, missed meals and guide services are not refunded unless we recover the cost or the law requires it.
Nothing in this policy limits mandatory consumer rights under Indian, UK, US or other applicable law. Your rights may depend on where you live, what you bought, whether your booking is a package and why you are cancelling. Where the law gives you a right to a refund, to cancel without a fee or to another remedy, that right takes priority over any part of this policy that is inconsistent with it.
